TutelaRx

Retire the paper drug log.

TutelaRx gives sedation and surgical practices a DEA-audit-ready digital drug log and a referral pipeline your referring offices actually use. Built with a working sedation practice that got an hour a day back.

TutelaRx daily count screen: on-hand Versed, fentanyl, and ketamine at one office, the day counted with nothing pending, and each patient's posted doses approved by the doctor (sample data)
The math does itself.
  • $250/month

per practice (one doctor, all their offices). See pricing

  • 1 hour

of staff time back, every clinic day

  • 8 offices

    referring into one pipeline

  • “Zero end-of-day paperwork, and I mean zero.”

Dr. Eric Egan, Odyssey Oral Surgery & Sedations

Two modules. One platform.

Use one or both. Referral data flows into the drug log, so patient info is typed once, ever.

Drug Log

Replaces the paper DEA controlled-substance logbook.

  • Log each patient’s doses and waste during the surgery day. Versed, ketamine, fentanyl, all of it.
  • A running inventory for each office. Transfers between offices, tracked on both ends.
  • Staff enter, doctors approve. Approved entries lock. A void needs a reason, and the trail stays.
  • Print an audit-ready report for any date range.
  • Biennial inventory support.
  • Built to satisfy DEA 21 CFR 1304 recordkeeping and state board requirements: Missouri BNDD, Florida Board of Dentistry, and more.

TutelaRx is the accountability record: the running count, the waste with a witness, the transfers, the biennial inventory. Not an anesthesia chart. It works alongside whatever you chart with.

Referral CRM

Referring offices send patients through their own portal. You track every one.

  • Each referring office gets its own branded login and sees only its own patients.
  • Track every referral through stages: submitted, coding, finance review, scheduled, completed. Closed cases keep a reason.
  • Referring offices see live status. No more “where is my patient” calls.
  • Two-way comments with the referring office, plus internal-only notes.
  • Referral data pre-fills the drug log. Patient info is typed once, ever.

Every referral, every office, one board.

How the drug log works.

Three moments in a clinic day. Nothing else changes.

  1. 1

Log the patient right after surgery.

Sit down by the drug box and enter the patient. The app fills in patient info and does the math.

  2. 2

Confirm the count at the end of the day.

Check that the physical count matches the app. Done.

  3. 3

Print a binder if an inspector walks in.

Pick any date range. It prints as the daily inventory sheet inspectors expect.

Dr. Eric Egan, Odyssey Oral Surgery & Sedations

After

“One centralized workflow. That was night and day for us.”

For scale: the federal civil penalty for a controlled-substance recordkeeping violation runs up to $19,246 per missing or inaccurate record. The math has never been hard. See what it cost one oral surgeon.

Questions doctors ask us.

Is a digital controlled-substance log even legal?

Yes. And if you thought otherwise, you're in the majority. The industry teaches the bound paper book: CE courses hand it to you, compliance checklists assume it, and some state boards still distribute paper log sheets. So most practices have never been told there's another option.

Here's what the federal rules actually require: records that are complete, accurate, kept at your registered location, and “readily retrievable” for inspection. Not handwriting. TutelaRx goes further than the rules ask. Every entry is tied to a logged-in user. Entries lock when the doctor approves them. A locked entry can only be voided with a reason. Your biennial inventory prints in the written form the rules require.

Dr. Egan put it this way: “We didn’t know it was possible, and we didn’t know it was legal.”

A few states do add format rules of their own. We check your state's requirements as part of setup.

We wrote up what the industry teaches and what the rule says: Who told you the drug log has to be paper?

Federal rules: 21 CFR 1304.04 and 1304.21. Not legal advice.

What does a DEA or state board inspector accept?

Inspectors can come to your registered office, look at your records, copy them, and count your stock. Your records need to be there and easy to pull up.

Federal law says keep records for at least two years. Your state may require longer. While you are a customer, TutelaRx keeps your full history. Nothing is purged.

If an inspector wants paper, print any date range as a binder. It comes out as a daily inventory sheet, the same shape as the one you keep now.

How do we migrate off our paper logbook?

We do it with you. We enter your current balances, your drug catalog, your offices, and your staff accounts. We check your state board's drug-log format rules. Your team gets a 15-minute training. Setup takes days, not months.

Then you run two weeks in parallel with your paper binder. You switch when you trust it.

We already use sedation charting software. Doesn’t that cover the drug log?

Almost never. They're two different documents, and inspectors can ask for both.

Your charting software records the patient's story: vitals, times, doses given during the procedure. Your drug log is the accountability record: a running count of every controlled substance in your stock, plus the biennial inventory. Received, administered, wasted with a witness, transferred between offices. The count reconciles against what is physically in your safe.

A quick self-test on whatever you use today. Does it show a running balance you can reconcile against the safe? Waste with a witness signature? A biennial inventory? If the answers are no, the accountability half is still living in your paper binder.

TutelaRx is that accountability half. It runs alongside any charting software. Keep what you chart with.

We have multiple doctors and locations. How does that work?

Each location has its own log and its own inventory. Transfers between offices are tracked on both ends. Staff can enter. Only doctors approve. Every entry shows who did it.

Pricing is per practice, meaning one doctor. Every office that doctor works in is included at no extra charge.

What happens to our records if we cancel?

Your records are yours. You get a full export. We keep records for as long as the law requires.

Is it HIPAA compliant?

A BAA is included with every plan. Data is encrypted in transit and at rest. Access is role-based, with MFA. TutelaRx is built on SOC 2 Type II certified infrastructure.

Does TutelaRx integrate with our practice management software?

TutelaRx runs alongside any practice management system. There's nothing to integrate before you can start, which is why setup takes days, not months. Inside TutelaRx, the referral module pre-fills the drug log, so patient info is typed once.

Deeper practice-management integrations are on our roadmap. If one matters to you, tell us on the demo. Roadmap order is set by customers.

Built with a working sedation practice.

TutelaRx started as a tool for one traveling sedation and oral surgery practice in Missouri. Dr. Egan's team needed a drug log that worked in every office they travel to and did not eat the end of every day. We built it with them and fixed what got in the way.

Now it is a product for oral surgeons, sedation dentists, periodontists, dentist anesthesiologists, and traveling sedation providers. You still get us, not a ticket queue.
